Who we need

Reporting to the Associate Registrar, Student Services, we are hiring a Program Advisor to support students enrolled in our online graduate and professional programs. As our new Program Advisor you will play an integrated role that combines academic advising, registrarial processes, and student support within a high-volume online environment. As a key member of the Registrar’s Office, you will often be the primary point of contact for students, helping them navigate program requirements, academic policies, and important academic decisions throughout their studies. You will guide students through complex academic and regulatory requirements while supporting processes such as registration preparation, status changes, and documentation management within institutional systems. 

This is an existing full-time role, working 2 days remotely and 3 days on-site, including every Wednesday.

You will play a critical role in ensuring they stay on track academically and remain engaged in an online learning environment where connection and support are critical to retention.

As enrollment continues to grow, there will be ongoing opportunities to contribute to emerging virtual student communities and affinity groups, student engagement programming, and continuous improvement of advising processes and student support services. 

As our new Program Advisor, you will:

  • Provide holistic academic advising. You will deliver individualized advising through online video, phone, and written communication, guiding students through course sequencing, workload planning, program progression, and graduation pathways across multiple terms and sessions. You will interpret Academic Calendar regulations, program requirements, and institutional policies, translating them into clear, actionable guidance.
  • Operate as a frontline Registrar’s Office advisor. You will serve as an initial point of contact for a wide range of student inquiries, triaging concerns and directing students to appropriate services such as Appeals, Accessibility, Records and Registration, and other support teams. You will act as a navigator across university systems, ensuring students understand where and how to access support.
  • Execute registrarial processes and maintain student records. You will participate in pre-registration activities, using these opportunities to identify advising needs and proactively connect with students. You will support and process student requests, including leaves of absence, withdrawals, re-entries, and registration changes such as course adjustments and late registration. This includes collecting and reviewing documentation, updating student status in systems, maintaining accurate records, and ensuring all actions are completed in alignment with policy and audit requirements.
  • Monitor student progress and provide early intervention. You will track academic standing and engagement indicators, including students on probation, conditional admission, or academic improvement plans. You will conduct proactive outreach to support students experiencing academic difficulty, disengagement, or competing personal and professional responsibilities, which are common among online learners, helping them stay on track and avoid escalation to withdrawal or appeal.
  • Triage and support complex student situations. You will advise students on academic standing and appeals processes, providing guidance on requirements, timelines, and next steps, and coordinating with the appropriate teams. You will support students through high-stakes situations with professionalism, clarity, and empathy.
  • Manage high-volume student interactions and documentation. You will respond to and manage student inquiries through a centralized service request system, as well as via phone and video interactions. You will review prior service requests and student records to ensure continuity, accuracy, and informed advising across a shared team environment.
  • Collaborate within a team-based advising model. You will work in a shared services model, adapting to cyclical volume and evolving priorities. You will work in a dynamic environment with peak periods aligned to registration and progression cycles. You will balance advising, administrative processes, and student support while remaining responsive to changing priorities and student needs. You will contribute to a highly collaborative culture, sharing knowledge, supporting peers, and ensuring consistent, high-quality advising across the team.
  • Contribute to student engagement and advising initiatives. You will support online orientation, webinars, drop-in advising, and proactive communication efforts related to registration, progression, and graduation. You will contribute to the development of advising resources, communication templates, and engagement strategies that improve student understanding and reduce repeat inquiries.

What you bring:

  • The education and expertise. You have a Bachelor’s degree and experience in student services, academic advising, registrarial services, higher education administration, or another service-oriented environment supporting clients or regulated processes. Experience supporting online learners or graduate students would be an asset.
  • The advising and student support mindset. You understand that academic advising involves both guiding students through policies and supporting their motivation and persistence. You are comfortable helping students navigate academic requirements while encouraging engagement in an online learning environment.
  • The organizational and technical skills. You are highly organized and detail-oriented and can manage a high volume of student inquiries and cases simultaneously. You are comfortable using systems such as student information systems, service request tools, learning management systems, and shared documentation platforms.
  • The interpersonal and communication skills. You build trust in a virtual environment and communicate clearly through written communication, phone, and video. You are empathetic and professional and can support students through complex or stressful situations while maintaining policy and procedural requirements.
  • Collaboration and initiative. You work effectively in a shared team environment and are comfortable reviewing student files, academic records, and service history to determine next steps. You apply policies carefully and understand the importance of documentation, consistency, and accuracy.
  • Flexibility and adaptability. You are comfortable working in a high-volume environment with cyclical busy periods related to registration, progression, and graduation. You can balance advising, administrative processes, and student support responsibilities while remaining responsive to changing priorities.

Compensation philosophy

At Yorkville University and Toronto Film School, we believe compensation should be fair, straightforward, and supportive of your growth. Our salary ranges reflect progression from learning in the role to excelling, with each offer based on skills, experience, and role complexity.

This position offers an annual salary ranging from $48,000, a midpoint of $50,000, and a maximum of  $52,000. Established hires typically start near the midpoint, while the upper range is reserved for those with deep expertise and sustained contributions. Offers below the midpoint recognize strong potential with room to grow.

We strive for equitable, consistent pay, though rates may vary within the same role based on performance, specialized knowledge, and impact.
