Who we need

Reporting to the Manager, People Operations, we are hiring a People Experience Specialist on a 12-month contract. As our new People Experience Specialist, you will help ensure the operational side of the employee experience runs smoothly. You will manage employment agreements and employee documentation, maintain accurate records in Dayforce, and act as a first point of contact for employee inquiries through the People team inbox. Working closely with colleagues across the organization, you will help ensure employees and faculty receive timely support while contributing to the processes and systems that keep People operations organized, compliant, and responsive.

This is a 12-month hybrid contract role based in downtown Toronto, working three days per week in the office, with Mondays and Wednesdays in office and flexibility to choose the third day.

As part of the People team, your work will help ensure faculty and employees have the support, systems, and processes they need to do their best work for our students.

As our new People Experience Specialist, you will:

  • Manage employment agreements and documentation. You will prepare, distribute, and track employment agreements and contracts, coordinating templates, mail merges, document packaging, and distribution while monitoring returned documentation and escalating exceptions as needed. You will maintain accurate contract records in Dayforce and provide ad hoc support preparing employment documentation such as offer letters and employee change letters, including salary adjustments, promotions, contract extensions, and accommodation letters. You will also coordinate with the New Program Development and Teaching & Learning teams to prepare Course Developer contracts and support timely payment processing.
  • Maintain HRIS accuracy and employee records. You will process employee lifecycle transactions in Dayforce, including new hires, job and manager changes, compensation updates, secondary assignments, and terminations, ensuring a high level of data accuracy and completeness.
  • Support data integrity and compliance initiatives. You will contribute to ongoing data integrity activities, including quality assurance checks and audits related to personal information, emergency contacts, sessional faculty records, background verification, SIN numbers, and work permits. You will coordinate outreach to employees and partner with Payroll to ensure required updates are completed.
  • Provide responsive People team support. You will serve as the first point of contact through the People team’s general inbox, responding to employee inquiries and triaging requests to Business Partners or Payroll as appropriate to ensure timely and effective service.
  • Support payroll coordination and policy implementation. You will prepare payroll instructions, including referral bonuses and stipends, in alignment with established trackers and timelines. You will also support policy rollout logistics to help ensure timely completion and compliance across the organization.

You have:

  • The experience. You may have experience in a client services, administrative, People Operations, or coordinator role, or you may be a recent graduate looking to begin your career in Human Resources. You are highly organized and detail-oriented, comfortable managing multiple priorities and deadlines while ensuring accuracy in your work. You are confident researching information, documenting processes, and communicating updates clearly.
  • The mindset. You enjoy helping others access the information and support they need. You take ownership of your work, step in where help is required, and look for ways to make processes run more smoothly. You are naturally curious, eager to learn, and motivated to build your knowledge of HR operations, systems, and employment processes.
  • The interpersonal skills. You bring strong written and verbal communication skills and are comfortable using tools such as phone and MS Teams to gather information and respond to inquiries. You build positive relationships easily and approach interactions with patience, professionalism, and empathy. You are responsive and dependable, and you enjoy supporting colleagues, faculty, and employees who are seeking guidance or information.

Compensation philosophy

At Yorkville University and Toronto Film School, we believe compensation should be fair, straightforward, and supportive of your growth. Our salary ranges reflect progression from learning in the role to excelling, with each offer based on skills, experience, and role complexity.

This position offers a minimum annual salary of $45,000, a midpoint of $52,500, and a maximum of $60,000. Established hires typically start near the midpoint, while the upper range is reserved for those with deep expertise and sustained contributions. Offers below the midpoint recognize strong potential with room to grow.

We strive for equitable, consistent pay, though rates may vary within the same role based on performance, specialized knowledge, and impact.

Base salary is one part of a broader package that also includes an extended health coverage with 80% of premiums paid.

  • A final virtual interview with a People Business Partner to answer any of your final questions.
