Who we need
We are hiring a Project Coordinator to join our Technology and Operations team. As our new Project Coordinator, Technology and Operations, you will be at the centre of high-impact initiatives that shape how our technology and operations teams deliver results. You will bring structure, clarity, and follow-through to large, multi-disciplinary projects supporting intake, planning, tracking, and execution. From coordinating project requests to maintaining documentation, organizing meetings, and managing project tasks in Smartsheet, you will help ensure priorities are aligned and initiatives move forward with momentum.
This is an existing vacancy for a full-time hybrid role, working 3 days a week in our downtown Toronto office.

As our new Project Coordinator, Technology and Operations you will:
- Support end-to-end project delivery. You will coordinate projects across their full lifecycle using Technology and Operations best practices, tools, and templates. You will create, monitor, and maintain detailed project plans, and manage Smartsheet for assigned projects and change requests. You will track day-to-day progress across concurrent projects of varying size and stage, including action items, risks, deliverables, timelines, and follow-up. You will organize project requirements, coordinate discovery sessions, and support the project intake process by evaluating requests, assessing scope, and facilitating stakeholder alignment to ensure initiatives are documented, prioritized, and routed appropriately.
- Drive communication and stakeholder alignment. You will collaborate with Business Analysts and cross-functional teams on a variety of initiatives, including new technology implementations, technology replacement projects, change requests, and enterprise-wide initiatives such as large-scale system rollouts. You will communicate with internal and external stakeholders to confirm priorities, surface risks, and maintain alignment on objectives and timelines. You will also prepare project status reports and presentations for team members and organizational leadership, ensuring visibility into progress and outcomes.
- Own project administration and documentation. You will organize meetings, prepare agendas, record minutes, and track follow-up actions to ensure accountability and progress. You will maintain clear, accurate, and accessible project documentation.
You have:
- The experience. You have supported or managed complex projects in a fast-paced environment and are familiar with a range of project management methodologies. You have coordinated project activities, managed timelines, and proactively addressed challenges to keep initiatives moving forward. You take initiative, communicate clearly, and bring a strong focus on execution.
- The initiative. You thrive in environments that require accuracy, responsiveness, and adaptability. You take ownership of your work, manage multiple priorities simultaneously, and maintain momentum across concurrent initiatives. You are organized, detail-oriented, and dependable.
- The technical skills. You are proficient in MS Office and project management tools such as Smartsheet, Asana, Wrike, Monday.com or MS Project. You are comfortable learning new systems and can quickly adapt to evolving technologies.
- The interpersonal skills. You bring professional written and verbal communication skills, including the ability to prepare and deliver presentations. You build trusting, collaborative relationships and work effectively with a broad range of stakeholders, from students and staff to senior leadership. You listen actively, ask thoughtful questions, identify gaps, and contribute practical solutions.

Compensation philosophy
At Yorkville University and Toronto Film School, we believe compensation should be fair, straightforward, and supportive of your growth. Our salary ranges reflect progression from learning in the role to excelling, with each offer based on skills, experience, and role complexity.
This position offers a minimum annual salary of $65,000, a midpoint of $70,000, and a maximum of $75,000. Established hires typically start near the midpoint, while the upper range is reserved for those with deep expertise and sustained contributions. Offers below the midpoint recognize strong potential with room to grow.
We strive for equitable, consistent pay, though rates may vary within the same role based on performance, specialized knowledge, and impact.

- A virtual interview with two members of the Technology and Operations team to explore your experience, project approach, and how you collaborate across stakeholders.
- A final in person interview with the Director and a member of the Technology and Operations team. This round will include a case presentation designed to assess project management acumen, followed by a discussion focused on how your skills, experience, and working style align with the department’s priorities and Yorkville University’s broader mission.
